Systematizing Your Work for Greater Efficiency
We all have a job to do and we all know how to do it; nevertheless, there always seems to be someone that gets greater results than we get.
I used to work at a firm where it seemed that we were all accustomed to mediocrity. One day, a young engineer was hired who had negotiated himself to one of the top salaries in the company even before he started. He was arrogant, but likeable. His work space was absolutely impeccable. There was never a paperclip out of place. Though there was seldom a sheet of paper on top of his desk, he seemed to get more done than anyone else. It didnt seem he had been there long when they asked him to move to Florida and open a branch office and lead a small work force.
I had a project in Florida once, and had to get help from a few of his technicians. He and I quickly butted heads. The demands he placed on his workers were extreme in as much as to him the work was more important than the worker. It reminded me of a boss I had who fired a worker for not been willing to come to work on Sunday.
Work Efficiency Benefits Man Not Work
Work serves man to fulfill his calling and use his talents. Work efficiency gives man greater control over what he does.
Organization and order are part of efficiency, but they are not the essence of efficiency. There are millions of workers being pushed to work harder, to take shorter breaks, and to work longer hours, but there are few workers that are trained to be more efficient.
As entrepreneurs, we must train ourselves to be efficient and not to fall into the trap of workaholics. We can push our boundaries, but only with the purpose of creating time for ourselves and our families.
How to Be More Efficient at Work
Among all the theories that I have heard throughout the years, there are two ideas that I want to emphasize here: Planning and Concentrated Effort.
Working without a plan is wasting your time, unless you have a slave driver behind you, like my engineering friend, guiding you every step of the way. Slave drivers cause people to quit thinking for themselves; it is counterproductive.
Planning is wisdom. It brings order and gives motion to all your purposes by ensuring that nothing is left undone, but that everything has its proper priority.
If planning brings order and motion, concentrated effort opens the door to true efficiency. It means that you as a worker are not divided, that your attention is focused on completing one task and one task only. For that reason, some people call it concentration of power; all of your power is being used to subdue the task at hand. Napoleon Hill calls it, singleness of purpose, with the understanding that success is achieved first in the mind and then through the hands.

My first exposure to a time and motion study was at a McDonald's while I was in college. If I remember correctly, the study lasted several days and you could see the increased efficiency of the workers.

The smaller a task, the easier it is to perform. One way to stop procrastination is to cut down your project into a series of very small tasks, and ignore the bigger picture for a little while.
There are parts of your life that are more important that work, and there are others less important, but you need to dedicate time to all of them and have to choose when to do it.
When your mindset shifts from managing projects to managing other people's talents, you will increase productivity and learn to delagate.
